New TeamDocuments

Omega introduces the new TeamDocuments: a more simple, user-friendly tool for cooperation and communication. TeamDocuments has undergone a comprehensive facelift, however its most popular and fundamental functions remain.

We have created the following guide to assist you in your transition to the new TeamDocuments. Please help us in improving TeamDocuments by making suggestions or reporting bugs via Improve.

TeamDocument Navigator

The mid column can be used as a Navigator insode your TeamDocument.

  • Posts: All the latest updates, attachments, tasks and comments are listed chronologically.
  • Files: Shows all uploaded files and attachments in the TeamDocument. Sorted chronologically and after person.
  • Tasks: Shows all tasks in the TeamDocument, sorted chronologically and after the person the task is assigned to.

You can search for content in the TeamDocumet by using the search field above above Posts/Files/Tasks.

By clicking each post, file or task in this column it automatically located it in the TeamDocument. Using the arrows on the top of the column you can browse through the posts.

Adding a Post (Comment/Task/Attachment)

  • Hold the cursor over the subject title line
  • Click add post (right-hand side) and you can add comments, tasks or attachments (see below)
  • To answer or follow up, click reply

Adding or editing Tasks

  • Enter or edit the task in the New task field
  • To assign the task, click on the name that appears to the right of the New task field. Enter the name of the person you are looking for. Choose that person from the drop down list that appears.
  • To adjust the task status, click on the default status Normal and set the status of the task to normal, urgent, on hold, cancelled, or complete
  • Click Save
  • When the task is completed, tick the box in front of the task

On Connect.omega.no you will find a list of your 15 latest updated tasks under the TeamDocuments search field. In TeamDoc R4 Tasks under the Sysadmin menu, you will find a complete list of all your tasks.

Adding or editing Attachments

  • Click Add files in the bottom right corner of the post window or Click to upload or drop files in the bottom section under New task
  • Double click the file you would like to attach and it will be added to the post
  • To rename the file hold the cursor over the file name and choose Rename in the menu appearing to the right
  • To delete hold the cursor over the file name and choose Delete in the menu appearing to the right

Download, Edit and Upload files

To use Download, Edit and Upload Files, you must install the Edit and Upload program. Hold the cursor over the file name and choose What is Edit and Upload? from the menu appearing, then Click here to install.

You may now use the functionalities Download File and Edit and Upload. These options will appear when holding the cursor over the file name.

  • To download the file to your computer, hold the cursor over the file name and choose Download File
  • To edit file and save it in TeamDocs click Edit and Upload, and OK the dialog box appearing. The file will then open for editing
  • Save the file after editing, and click "Save To Server" in the dialog box appearing in your TeamDoc-window. The file with changes will then be uploaded in your TeamDocument

Import email

  • Click More in the bottom right corner in the Post-window
  • Click Import mail to add an email in the post
  • A new window Import E-mail will appear, and you can import your email from either Inbox or Sent items in the upper right corner
  • Choose the mail you want to import and click Import selected mail
  • All attachments in the email will also be attached under files in the TeamDocument post
  • Click Save

Link to another TeamDocument

You may link to another TeamDocument in your post.

  • Write td: and the last four digits in the address field for the TeamDcument you wish to link
  • For example td:1234

Deleting a post

  • Click More in the bottom right corner of the Post-window
  • Click Delete to remove the post

Download as PDF

You may download the TeamDocument as a PDF file on your computer.

  • Click the Common Tasks button on top of the page
  • In the popup window you will get some options on what to include in the PDF. Tick the boxes if you would like to make some changes.
  • Click Download as PDF and the PDF version will be available to you

Move sections/subjects/posts

You can move sections, subjects and posts inside the TeamDocument by simple clicks and pull operations.

  • Hold the cursor on the far right icon (three horizontal lines) in the title line of the post you want to move
  • Hold the mouse button in as you move the post up or down as you wish

Share you TeamDocuments

  • By clicking Share in the orange field on top of the page you may share your TeamDocument with others
  • A Drag & drop into Relevant roles window will appear showing four columns
  • In the far left hand column you can search for the group or person with whom you wish to share the document
  • You may choose which of these roles the person/group should have in the TeamDocument:
    • Readers: Person/group will only get to follow the TeamDocument without being able to edit, write or add anything
    • Editors: Person/group can write, edit and work in the TeamDocument
    • Managers: Person/group is added as an administrator of the TeamDocument
  • Hold the cursor on the name of the person/group as you drag it into the column where you want to place them.

Subscribe

You may subscribe to the TeamDocuments you need updates on, use most frequently and need to have easily accessible. They will be listed under Subscriptions, and unread updated TeamDocuments will be bolded on top of the list.

  • Find the TeamDocs you want to subscribe to and click Subscribe in the top orange field on the page
  • It will then be placed under Subscriptions in the far left column of the page.
  • Click Subscribe once more, if you wish to remove it from the Subscriptions list
  • Unread updated TeamDocuments will show in bold on top of the list.
  • You may search for TeamDocuments in the search field under Subscribed documents.

Pinned

You may use the pin functionality, if you want certain TeamDocuments in their own "Pinned" section.

  • You will see the pin icon on the right of the heading line, when holding the courser on the name of the TeamDocument in Subscribed documents
  • Click the icon and the TeamDocument will be placed under Pinned
  • To remove it, hold the cursor on the title and click the cross on the right
  • If unpinned the document will be replaced under Subscriptions

Archive

You may archive subjects in new TeamDocuments. This way you can keep subjects hidden without deleting them.

  • You will see Edit on the right hand side when holding the cursor on the heading line of the TeamDocument
  • Click Edit and you get Archive as an alternative.
  • By clicking Archive you can hide the subject.
  • By clicking Show Archived Subjects under Common Tasks you can hide/show them as you wish

Delete

You can delete an entire TeamDocument by clicking Delete in Common Tasks. You will get a confirmation dialog box before finally deleting.

Adding a new TeamDocument

  • Click TeamDoc on the upper left hand field in the orange field, and choose New Document from the dropdown menu.
  • Add a TeamDocuent Title and the name of the person Responsible for the TeamDocument
  • Add a Description of the TeamDocument (optional)
  • Click Create

Editing the TeamDocument Introduction

  • Hold the cursor on the TeamDoc title line
  • Click edit (right-hand side)
  • Click Save

Adding or editing a Subject

  • Hold the cursor over the section title line
  • Click add subject or edit (right-hand side)
  • Enter or edit the subject title
  • Click Save

Hide

You may hide your Document list and Navigator by clicking TeamDoc on the upper left hand side of your screen and use the dropdown menu.
